Hae CPG is a supply chain consulting agency dedicated to supporting emerging beauty and CPG brands through various stages of growth. We support brands across all operational functionalities, including inventory planning and management, vendor correspondence, production flow management, sales operations, customer service, and DTC and B2B fulfillment. In short, we help brands make, ship, and sell their products.

Since its launch in 2020, Hae CPG has collaborated with up-and-coming brands in the beauty, personal care, haircare, and consumer product spaces.

    Role Description

    Hae CPG is seeking an Operations Associate to support an exciting new stage of the company and a fast-growing client roster of CPG brands.

    The Operations Associate will collaborate with the Hae CPG team, including the Founder/CEO and Operations Manager, to support the day-to-day initiatives and workflows across e-commerce, retail, logistics, and customer service operations for key clients.

    You must be both a self-starter with an entrepreneurial mindset and a team player that is willing to roll up your sleeves believing that ‘no task is too big or too small. The role requires stellar communication and relationship building acumen, strong writing abilities, and the ability to understand data. You must be flexible and quickly adaptable, as the needs of the business can quickly evolve.

    Responsibilities

    • Support Operations Manager with the execution of day-to-day operations of each client’s e-commerce, B2B and customer experience operations; learn and adapt to the unique flows, teams, platforms/software, protocols and supply chain structure of each client

    • Cultivate relationships with and correspond with 3PL and freight partners to ensure timely shipping and delivery of outbound e-commerce and retail orders and coordination of inbound; manage specialty value-added services and projects; compile BOMs; manage RTVs and inventory QC of returned goods

    • Support Customer Service Associates with troubleshooting e-commerce order delays, misships, lost packages; analyze returns and ticket data; flag trends with order fulfillment issues

    • Ensure e-commerce and Drop Ship orders are processing across all brands in a timely manner; correspond with 3PLs to troubleshoot delays and order issues; monitor platforms for integration issues; target 100% fill rate

    • Review routing guidelines across all retail channels and ensure purchase orders are processed and packed and documentation is prepared accordingly; collaborate with 3PL teams to process orders in a timely manner; submit invoices; update order status as needed and provide tracking information to retail partners; input data into retail portals and EDI as needed

    • Communicate OOS and BIS date to retailer partners to troubleshoot backorders and achieve optimal fulfillment rates

    • Monitor, investigate and dispute e-commerce and retail chargebacks; gather historical data to advise on best practices to minimize charges

    • Monitor inventory levels for finished goods, packaging, and shipping materials; Prevent stockouts of shipping materials and work with brands and Hae CPG team to replenish as needed

    • Process and manage special order requests for press, marketing, sampling, VIPs for clients

    • Coordinate international and domestic inbound and outbound freight; prepare documentation for customs; gather quotes from strategic partners

    • Support Operations Manager with updating sales and inventory reporting, freight analysis; audit logistics bills

    • Flag integration challenges and work with Operations Manager and various brand and vendor teams to troubleshoot

    • Compile data across customer service and fulfillment in both internal and external facing reports

    • Create, organize, and update client documentation and reporting, SOPs, retail and routing guidelines

    Requirements

    • At least 2+ years in retail/CPG industry, preferably within an operational or customer support function

    • Excellent interpersonal and communication skills and prioritizes relationship building, able to craft creative, warm, and engaging responses to clients and vendors

    • Eager to learn new skills and process flows

    • Detail-oriented, highly organized, and able to multi-task – must be able to keep up with multiple clients, emails, timelines, launches, purchase orders simultaneously and with accuracy and timeliness

    • The ability to blend creativity and data to strategize the best, efficient, innovative outcomes

    Role Description

    Hae CPG is seeking a Retail Logistics & Ops Manager to support an exciting new stage of the company and a fast-growing client roster of CPG brands and their scaling B2B sales channels, which include mass, boutique, mom-and-pop, TV/events, Drop Ship, and Amazon.

    The role will directly support the Operations team to oversee key client relationships that are focused on retail distribution and lead B2B fulfillment strategy and execution. You will collaborate with the Hae CPG Operations team to manage B2B order fulfillment and logistics partners to achieve final leg delivery of orders. Some examples of retailers include: Sephora, Ulta, Target, Walmart/Sam's Club, Urban Outfitters group, Nordstrom, Neiman Marcus, Mecca, CVS, and Saks. You will work closely with brand teams to understand retail distribution strategy and support troubleshooting of potential risks and delays with fulfillment.

    You must be both a self-starter with an entrepreneurial mindset and a team player that is willing to roll up your sleeves believing that ‘no task is too big or too small. The role requires exceptional business acumen and analytical abilities, as well as excellent communication and relationship building skills. You must be flexible and quickly adaptable, as the needs of the business can quickly evolve.

    Responsibilities

    You will fill a pivotal role as we prepare for the next stage of the business and scale. You will work directly with our Founder/CEO and Operations team as we support brands in navigating growth in retail distribution.

    • Collaborate with Hae CPG team in fostering and managing client relationships and work scopes, along with Hae CPG’s growth initiatives, and brainstorm efficiencies and automations for client process flows

    • Cultivate relationships with brand teams, vendors, retail partners, supply chain partner; ensure timely correspondence with all stakeholders

    • Manage and execute client retail operations flows, including PO processing, invoicing, accounts reconciliation, inventory allocation, product updates, portal management, EDI

    • Ensure timely and accurate shipping for each client’s retail purchase orders across all retail channels and supporting platforms, including: EDI, 3PL WMS’s, Amazon Seller/Vendor Central, etc. and as per each retailer's routing guidelines

    • Generate and submit invoices for all retail orders; follow up to ensure timely payment

    • Review and dispute charges and manage RTVs back to the 3PL

    • Owns reporting across B2B, including order totals and fulfillment flows, demand planning, freight, chargebacks

    • Monitor software integrations across various ERP, retail, warehouse management, inventory, middleware systems to ensure smooth, accurate, and timely transmissions; troubleshoot as needed

    • Create, organize, and update client documentation and reporting, SOPs, retail and routing guidelines

    • Collaborate with logistics partners to ensure timely shipping and delivery orders and oversee specialty value-added services and projects related to retail

    Requirements

    • At least 7+ years in retail/CPG industry with experience in retail fulfillment

    • Strong proficiency with data, highly analytical and detail-oriented, comfortable with data formatting, manipulation and analysis; proficiency in retail math a plus

    Role Description

    Hae CPG is seeking an B2B Logistics Coordinator to support an exciting new stage of the company and a fast-growing client roster of CPG brands.

    The B2B Logistics Coordinator will process, route and invoice wholesale/retail purchase orders for our key clients. Examples of retailers include Sephora, Target, Goop, Moda Operandi, Saks, Urban Outfitters, and more. You will need to work with various 3PLs and operate off various platforms, such as EDI, to successfully route orders on time and according to each retailer’s routing guidelines.

    You must be both a self-starter with an entrepreneurial mindset and a team player that is willing to roll up your sleeves believing that ‘no task is too big or too small. The role requires stellar communication and relationship building acumen, strong writing abilities, and the ability to understand data. You must be flexible and quickly adaptable, as the needs of the business can quickly evolve.

    Responsibilities

    • Process, route and invoice B2B purchase orders for key clients; ensure orders are shipped within the communicated ship window on the PO and according to the routing guidelines provided by the retailer

    • Submit ASNs, order acknowledgements, and invoices in a timely manner

    • Create and update packing lists, BOLs, shipping manifests, commercial invoices as needed and ensure that they are compliant with retailer expectations

    • Quote and coordinate ground, ocean, and air freight according to shipping terms set forth by the retailer

    • Correspond with 3PL partners to ensure timely shipping and delivery retail orders

    • Log and dispute chargebacks incurred from routed POs

    • Coordinate RTVs with retail teams and back to 3PL

    • Collaborate with Hae CPG team to understand inventory allocation needs and inbound status to allocate inventory to the retail POs

    • Support onboarding onto new retail partners and item setup

    • Create, organize, and update documentation and reporting, SOPs, and guidelines as it pertains to the role’s responsibilities

    Role Description

    The Customer Service Associate will collaborate with the Hae CPG team to support and execute customer service operations for key clients. This includes responding to and addressing customer inquiries, concerns, order issues, and comments, populating customer service-related reporting and logs, and troubleshooting order issues in collaboration with the 3PL. Support across additional supply chain initiatives may be needed on a case-by-case basis.

    Responsibilities

    • Support Hae CPG team with managing and executing customer correspondence for key brands

    • Provide excellent communication and timely correspondence with customers; Troubleshoot customer service and order processing issues in a timely manner

    • Set up and edit macros and rules within customer service platforms as needed

    • Escalate any order and product issue trends to the appropriate teams

    • Cultivate relationship with and correspond with 3PL partners to ensure timely shipping and delivery of e-commerce and retail orders and oversee specialty value-added services and projects

    • Ensure e-commerce orders are processing across all 3PL partners in a timely manner; troubleshoot and release On Hold and Backorder status orders

    • Update customer service and fulfillment reports for key clients on a regular basis

    • Create, organize, and update client documentation and reporting, SOPs
